Different interpreting requests require different agreement structures. A one-time event does not need the same documentation as a recurring organizational partnership. We use the format that best matches the scope, schedule, and access needs of your request.

Which Structure Applies

We’ll recommend the right structure when we scope your request. Here’s how each one works and when it’s used.

A single event

One-Time / Per-Event Quote

For one-time or per-event requests, we may issue an event-specific quote. Once accepted in writing, the quote confirms the scope, pricing, and terms for that event. Interpreter coverage is not fully confirmed until interpreter team placement has been completed and confirmed in writing by WITHdirection.

Several events together

Multi-Event or Bundled Quote

If your organization is requesting more than one event, we may prepare a bundled quote rather than separate one-off quotes. Bundled quotes let us coordinate interpreter teams across multiple dates or sessions, reduce scheduling conflicts, and clarify the total scope before work begins.

  • Multiple conference sessions
  • Several events in the same week
  • A short series of related programs
  • More than one event within a defined period

Ongoing services

Recurring Organization Agreement

Organizations requesting recurring or regularly scheduled services may be asked to complete a standing service agreement. This establishes the rate model, scheduling process, cancellation policy, billing cycle, and communication expectations across multiple events. Individual events may still be confirmed separately, but the standing agreement governs the overall service relationship.

Complex or high-stakes work

Custom Scope of Work

For complex, legal, consulting, translation, conference, international, multi-day, or high-stakes work, we may prepare a custom scope of work. This document defines the services, deliverables, preparation expectations, assumptions, exclusions, fees, and change process before work begins.

Important

How Coverage Is Confirmed

A quote or request submission is not the same as a confirmed booking. Interpreter coverage is confirmed only after:

  1. 1

    The client gives written approval, and

  2. 2

    Interpreter team placement has been completed and confirmed in writing by WITHdirection.

For one-time events, an accepted quote may serve as the event-specific written agreement when it includes scope, pricing, payment terms, cancellation language, and acceptance language. Recurring services may require a standing agreement. Cancellation terms depend on the engagement type and are provided in writing with the quote or agreement.
